You are purchasing a product and/or service from us. In order to provide you with the best possible service,
you provide us with personal data. For example, if you visit our website, if you send us documents, if you
call us, e-mail us, write us a letter, if you drop by or talk to someone from Klien IT Systems B.V. (hereinafter:
“Klien IT”). We therefore find it important that you know that you can trust us to handle your (personal)
data carefully and confidentially. In this statement we explain exactly how we do this.

information is either directly about someone or can be traced back to that person. That it must be a

  • To do the agreed upon work (e.g., what is agreed upon in the agreement) as well, efficiently and
    effectively as possible;
  • To contact you for the purpose of our services;
  • Sending a newsletter or invitations to events/trainings;

your consent or other grounds. If we do pass on the data with your consent or on another basis, we impose
the same protection and security measures on the third party as we impose on ourselves.

    and Klien-IT-Systems;
  • The processing is necessary to fulfill a legal obligation;

From whom do we process personal data?

We process personal data of our customers and (website) visitors. This is part of our business operations.
Important: If you as an organization or company transfer personal data of your employees to us, you are
obliged to inform your employees about this.

We process the following personal data:

  • Company name
  • Contact and billing address
  • E-mail
  • Address
  • Date of birth
  • Gender
  • IP address
  • Financial data for the performance of the service and/or invoicing
  • Any other data you have provided to us without obligation.


We only process personal data that we have obtained on a legitimate basis.

How do we handle your personal data?

When processing personal data Klien-IT-Systems adheres to the rules that privacy legislation, in particular
the GDPR, prescribes. This means that we only collect and process personal data if there is a basis and a
purpose. Only the personal data that are necessary are collected and the personal data are then
processed only for that specific purpose. We take the nature of the personal data into account and adjust
an appropriate technical and organizational level of security accordingly. You can therefore rest assured
that we handle personal data carefully, securely and confidentially.

Secrecy

The services provided by Klien-IT-Systems make it necessary for our employees to have access to your
personal data. To ensure the protection of your personal data here as well, all our employees have signed
a confidentiality agreement. With this we impose on our employees that they will keep your personal data
absolutely secret and that they will handle with care the data you entrust to us. It is also important to
know that only authorized personnel may process your data.

Inspection and correction of your data

We collect and process personal data from you, but, of course, this personal data remains yours. Therefore,
we always offer you the opportunity to see what personal data we hold about you. If the information is
incorrect, you can request that it be corrected. A request to inspect or correct your data can be sent to

Retention period

We will not retain your data longer than necessary for the purpose for which we obtained the data from
you. The criteria for determining the retention period of your personal data are (a) the duration of the
agreement with Klien-IT-Systems, (b) the existence of a legal retention obligation or term or (c) the
existence of a (potential) claim or dispute in connection with which the data should be retained.

Klien-IT-Systems uses Cookies on its website and in its app. In this document Klien-IT-Systems is pleased
to explain why it uses which Cookies and what this means for you.

What is a cookie?

Our website includes buttons to promote or share web pages on social networks such as Facebook,
LinkedIn and Instagram. These buttons work by means of pieces of code that originate from Facebook
and Twitter respectively. Cookies are placed by means of this code. We have no influence on this. Please
read the privacy statements of Facebook and LinkedIn (which may change regularly) to read what they
do with your personal data that they process via these cookies.

The information they collect is anonymized as much as possible. The information is transferred to and
stored by Facebook and LinkedIn on servers in the United States.

Right of access and correction or deletion

You have the right to request access to and correction or deletion of your data. To prevent misuse, we
may ask you to provide adequate identification. When it comes to accessing personal data linked to a
cookie, you must send a copy of the cookie in question. You can find this in the settings of your browser.

Enabling, disabling and deleting cookies

Cookies can send your personal information to all kinds of companies. If you don’t want that (anymore),
you should delete cookies from your computer, tablet or smartphone. Deleting cookies is not very difficult, but keep in mind that after cleansing you will have to log in to websites again and your passwords may not be remembered. You may also have to reset pages.
